Zizo is committed to protecting your privacy. We therefore abide by the General Data Protection Regulation, which legally prescribes how we must handle your personal data. The purpose of this Privacy Statement is to inform you as a Zizo website visitor, our customers to whom we provide cleaning and additional services, and job applicants about the personal data we process or could process. This includes data you provide when using our website and other services such as online promotions, events, and campaigns. This Privacy Statement answers various questions: which of your personal data does Zizo actually or potentially process? For which purposes does Zizo use your personal data? To whom does Zizo actually or potentially provide your personal data? And what rights do you have in relation to your personal data? At Zizo, we work on the principle that we only use your personal data if strictly necessary and if we can guarantee their security. When does this Privacy Statement apply?
This Privacy Statement applies to all personal data that Zizo processes, involving its websites, its social media channels, and its online promotions for events and campaigns sent by email. It also applies to all personal data that Zizo processes in and in relation to its services. Lastly, this Privacy Statement applies if you apply for a job with us.

Who is responsible for your personal data?
Zizo – your professional home convenience service with its headquarters at Verlengde Velmolen 1, 5406 NT Uden, registered with the Chamber of Commerce under number 83500278 – is the controller of your personal data. If you would like to contact us, go to the ‘Contact’ section, where you’ll find our contact details.

How do we collect your personal data?
Zizo understands that the protection of your privacy is important to you. People are at the heart of the labour-intensive services that Zizo provides. We are your dependable convenience service for cleaning, gardening, and computer assistance (for more information, see: https://zizo.nl/diensten).

Protecting your privacy is an essential aspect of quality in this regard. Zizo is committed to creating awareness on the ‘shop floor’ about careful handling of personal data. Careful handling should cover the personal data of customers, their employees, other business associates, and our own Homemakers. Zizo strives both for compliance and maintaining a workable situation for everyone involved, all within the legal framework and with a passion for business and service. Insight into the personal data we need from you and for which purposes follows below.

Zizo collects your personal data as follows:

  • Because you (or a third party on your behalf) communicate directly with us by email, letter or telephone, for example when you have questions about our cleaning services and other expertise, or if you have questions regarding the online facilities on the website
  • Because you (or a third party on your behalf) provide personal data to us in another way, for example by entering into an agreement with us. This may include your special personal data
  • Because you sign up for our newsletter or one of our events
  • Because you subscribe to and/or follow our social media channels
  • Because we collect personal data through other sources, including public sources, or through other parties, including consultants, etc.
  • Through analysing our technical tools and services that we use for our websites;
  • Because you apply to us for a job.

 

For what purposes does Zizo process your personal data?

For the purpose of our services
Processing your personal data is necessary to effectively provide you with our cleaning and additional services. In fulfilling our role as a contractor, supplier, and in the various facets of service provision in which Zizo operates, processing personal data can at least include, but is not limited to, managing data of prospective customers, customers, and clients as well as maintaining these business relationships. Zizo also processes your personal data to contact you.

Zizo processes at least the following personal data: your first name and surname, sex, title, position, email address, other contact details, name of the company/organization you work for, legal relationship to others, address details, and other data you provide to us. We also process financial data to effect payment for our services. If required by law, we retain a copy of your proof of identity. We may use the foregoing data based on the agreement we enter into with you, without seeking your specific consent for this purpose. We do not share these personal data with third parties unless this is necessary for performing the agreement or you give us consent for this purpose.

We may also provide personal data of permanent and flexible employees to customers and clients in relation to our services insofar as necessary for performing an agreement and our services. Many employees are based externally at the customers/clients.

Marketing and Business Development activities
We are keen to keep you informed about our services and we would like to stay in contact with you. If you subscribe to our newsletter, a particular event, or send us an email or job application, we will process your data for the purpose of that newsletter, event, email, or job application. We can also send you newsletters or invitations on our own initiative. We moreover process personal data for the purpose of legal obligations or, where relevant, for the purpose of our services. Our processing of personal data is detailed below.

Newsletter or mailing
Zizo processes your personal data to make contact or stay connected with you. We like to use newsletters, among other means, to inform our customers and business associates. If you wish, we will also update you about events we are hosting and other business-related matters that we believe might interest you. We also process statistics for the purpose of improving our services and the related marketing activities.

If you wish to receive these newsletters and invitations, register with us through our website (www.zizo.nl). You can also unsubscribe at any time.

If you subscribe to receive the newsletters, we will process at least your first name and surname, title, position, your email address, sex, the name of the company/organization you work for, and possibly your address details. Dietary and access requirements can also be recorded for the purpose of attending events.

We will retain your data until you withdraw your consent. You can withdraw or alter your consent at any time.

Social media
Zizo has its own LinkedIn page, Facebook page, Twitter account, and YouTube channel, which you can subscribe to without any obligation. Through our social media channels, we inform you about the latest developments at Zizo, share job vacancies, and interact with our customers and employees. We inform you about other business-related matters and events that we believe might be of interest to you.

If you subscribe to our social media channels, we will process your first name and surname, title, position, your contact details such as email address and social media page, the company you work for, and our posts and videos that you find interesting.

If you choose to subscribe to our social media channels, be aware this will be visible as such to other users of the relevant social media. The same applies if you choose to share a contribution from our page through social media.

This Privacy Statement does not apply to those processing operations. If you want to learn more about these third parties’ privacy protection measures, request the relevant privacy statement from them.

We will retain your data until you withdraw your consent. You can withdraw or alter your consent at any time.

Website
We process your personal data through our website (www.zizo.nl) for technical and functional analysis of the website for the purpose of generating statistics and analysing and/or improving our website. The personal data processed through our websites are data about the device you use to visit our website, including IP addresses and data about your visit to our website, including the pages that visitors click on. These data are processed into statistics on functionality (is the page easy to find?), error messages (are any of the web pages not starting up properly?) and relevance (is the web page still relevant?). We process the personal data we collect for this purpose for 24 months. We will also use the data to promote our services.

If you send an email through our website to info@zizo.nl or contact us by telephone at +31(0)88-00225552, we will process your personal data to answer your question or process your comments. We also delete these data within 24 months of the end of the subscription.

Cookies
Zizo uses cookies on its website. Cookies are small files stored on your computer, tablet, or smartphone when you visit our website. Zizo uses functional cookies and/or analytical cookies for the proper functioning of its website. Zizo also uses cookies to share the content of its websites through social media. Prior consent is requested from the website visitor for these cookies to be placed on your computer.

Zizo uses Google Analytics to analyse how visitors use the website and apps. You are free to refuse these cookies, which can be done by adjusting your web browser settings. However, this may affect the functionality of the website. If you continue to use the website without adjusting your settings, this means you consent to our use of cookies.

Job applications
If you apply to us for a job, we will process and retain your first name and surname, date of birth, address details, telephone number, email address and other personal data mentioned in your job application. This could include your special personal data such as a certificate of good conduct. These data will only be collected and processed during the application process. We will delete the data within four weeks of the end of the process if the application process was unsuccessful. We will retain your data for a maximum of one year only if you give your consent. If your application was successful, we will retain your data for one year after the end of your employment.

 

Legal bases for collecting personal data

We process your personal data under one or more of the following legal bases:

  • Performing an agreement, such as an agreement to provide our services
  • Legitimate interest
  • Your consent
  • Necessity to fulfil a legal obligation. For example, when we need to provide data for implementing the Tax Act.

Zizo app
We process your personal data to provide Zizo services through our Zizo app. The personal data processed through our Zizo app include:

  • Planning moments: scheduled time ‘from to’
  • Your data (name, address, pets, house instructions, property type, area, number per room type)
  • Homemaker (name, photograph of homemaker, text of homemaker)
  • Chats between you and the homemaker
  • Chats between you and the service desk
  • Photographs in chats
  • Your review of the service provided
  • Completed working hours of services
  • Login details.

The above data are processed in statistics. We process the personal data we collect for this purpose for 24 months. If you send a message/communicate with our ‘homemaker’ or service desk through our Zizo app, we will process your personal data to answer your question or process your comments. We also delete these data within 24 months of the end of the subscription.

Third parties obtaining your personal data
It might be necessary to provide personal data to third parties to perform an agreement or to comply with laws and regulations. Insofar as necessary, your personal data will be shared within Zizo B.V. In such a case, Zizo will ensure that these personal data will be processed in accordance with the purposes. Zizo never provides personal data to third parties for the purpose of commercial gain.

We share data with third parties only when needed to perform an agreement and to comply with a legal obligation from, for example, the central government or enforcement agencies such as the Dutch Data Protection Authority. If there is no legal obligation or necessity to perform an agreement, we provide data to others only after we have obtained your explicit consent.

Who has access to your personal data?
Various departments at Zizo process your personal data. For example, our Marketing & Communications department is responsible for sending our newsletters, press releases, invitations, and posting on our social media channels. Insofar as necessary, if you wish to receive specific information, your personal data will be shared with the relevant department.

Zizo may use an external party that supports data processing to perform its services. It can also outsource its services. Examples include outsourcing all or part of its ICT services, budget coaching, seeking legal advice, hiring self-employed people, and using other support services. These third parties may process personal data, which then qualifies them as processors under the General Data Protection Regulation. Zizo requires a high level of protection of personal data from its processors. Processors are partly selected for their privacy policies. Arrangements are recorded contractually and, if necessary, compliance is monitored. A processing agreement is concluded with these processors. We will moreover only share personal data for the purposes described in this Privacy Statement. The above also implies that personal data may be shared with other parties in certain circumstances, for example with third parties relevant to providing our services, such as auditors, government agencies, or organizations involved in hosting an event.

How are your personal data secured?
Zizo has adopted appropriate organizational and technical measures to protect your personal data appropriately and adequately. In particular, Zizo processes personal data of customers and employees. Zizo focuses on security of ICT processes and systems. Security focuses on protecting information itself and the means on which it is stored such as various information systems, hardware, operating systems, databases, corporate networks, and the physical locations. Zizo uses various digital security techniques such as encryption, firewalls, and secure servers. Your personal data are also stored on secure Dutch or European servers.

We further instruct all our employees on the importance of handling personal data carefully. And we instruct them on organizational protection measures, such as a data breach protocol; the contents of this Privacy Statement; the need to obtain consent when sending newsletters and information relating to other marketing purposes; and the need to continuously protect their passwords and/or devices.

 

Rights regarding your personal data

As a data subject, you have several rights regarding the processing of your personal data:

  • Right of access. You can request to see your personal data. Circumstances may apply that prevent you from having a right of access
  • The right to rectify your personal data if it is incorrect or incomplete
  • The right to be forgotten. Circumstances could apply that still require us to retain or process your data; for example, if we have a legal obligation to do so
  • The right to object or to request restriction of processing. Again, we need not comply with this request under certain circumstances
  • The right to data portability. This means that you have the right to receive your personal data in a usual and structured manner and the right to transfer the data to another controller
  • The right to lodge an objection and/or complaint with the supervisory authority (Dutch Data Protection Authority)
  • The right to withdraw your consent. For the purpose of exercising this right, we note that Zizo is entitled to continue processing your personal data under certain circumstances (notwithstanding your withdrawal) if it needs to process those data to comply with its legal obligations.

Retention policy
Data will not be retained longer than necessary for the purposes mentioned above. Zizo abides by the statutory retention periods or the periods set out in the Dutch Data Protection Authority’s Exemption Decision for this purpose. Zizo applies the statutory retention periods validly established for data processing.

Amendments to this Privacy Statement
Zizo reserves the right to amend this Privacy Statement. This version was adopted on 12 October 2021. As a situation may arise that requires this Privacy Statement to be amended, we advise you to check this page regularly. Zizo will announce any major amendments.

Zizo aims to give you clarity with this document on how we handle your personal data. If you have questions about your rights in relation to your personal data, if you are dissatisfied with how we process your personal data, or if you have specific questions about our processing of personal data, you can contact us at any time by email (privacy@zizo.nl) or by telephone at +31 (0)88-0025552. If you wish, we can then put you in contact with our Data Protection Officer.

If you contact us, please always clearly state who you are or on whose behalf you are calling, so Zizo can be sure to complete, alter, or delete the correct personal data. To avoid errors, Zizo might ask you for your identification.

If you believe that Zizo or one of its employees is handling your personal data carelessly, you have the right to file a complaint. You can file your complaint with Zizo or with the Dutch Data Protection Authority.
